Fee reminder message for parents on WhatsApp (polite template)

Most late payments are not refusals. They are forgetting, or waiting for a payday. A reminder done well keeps the relationship and gets paid. A reminder done badly does neither.

The four-message rhythm

  1. A few days before the due date: a friendly heads-up with the amount and a way to pay.
  2. On the due date: a short reminder.
  3. A few days after: a gentle follow-up that offers help: “If there’s any problem, tell us.”
  4. After a week or more: a call from a person, not another message.

Stop the chain the moment the person replies or pays.

What every reminder must contain

  • Who it is from, in the first line.
  • The exact amount and what it is for.
  • The due date.
  • One way to pay, ideally a link or UPI details they can tap.
  • A way to say “already paid” or “need a few days”.

A template you can adapt

Namaste [Name], this is a reminder from [Business]. The fee of ₹[amount] for [batch/month] is due on [date]. You can pay here: [link]. If you have already paid, please ignore this, or let us know and we will update our records. Thank you.

For more versions in English, Hinglish and Hindi, including invoices, rent and EMIs, see our payment reminder WhatsApp message templates.

Notice what is missing: threats, shaming, capital letters and any mention of penalties. If a late fee exists, put it in your written terms, not in a reminder.

Reminders are usually utility messages, which are about an existing relationship, not promotion. Do not slip offers into them, or they may be treated as marketing and cost more. Only message people who have given you their number for this purpose, and stop when they ask. If you use the API, reminders sent outside the 24-hour customer service window must use pre-approved templates. See WhatsApp message costs in India.

Keep a human in the loop

Check the list before it goes out. A reminder sent to someone who paid yesterday is worse than no reminder. That is why vv, when it ships, drafts the batch and waits for your approval before sending.

Fee reminders are one of four workflows on the vv page for coaching institutes.
