Business automation cost in India: a worksheet for owners

Quotes for automation usually cover software. The real cost has five parts, and the one that matters most is often your own time. Use this worksheet before you commit.

The five buckets

1. Software. Monthly plan fees for the tools you need: messaging platform, CRM, booking, accounting add-ons. Ask for the price at the plan you will actually use, billed monthly, and note what is excluded.

2. Usage fees. Per-message WhatsApp fees, payment gateway charges, SMS, AI credits. These scale with volume. See WhatsApp message costs in India.

3. Setup. Building the flows, writing the templates, importing contacts, connecting tools. Either a one-time fee to someone else, or hours of your own time.

4. Running. The weekly time to keep it working: fixing a broken flow, answering what the bot cannot, updating prices and offers. This is the bucket that decides whether automation saves time or just moves it.

5. Switching and risk. What it costs to leave. Is your data exportable? Is there a long contract? What happens if the vendor changes prices?

The payback formula

Hours saved per month × value of an hour = monthly benefit
Benefit − (software + usage + running time) = net monthly gain
Setup cost ÷ net monthly gain = months to pay back

Be honest about “value of an hour”. If you could not have sold that hour to anyone, the value is lower than your hourly rate. If it frees you to do the sales work only you can do, it is higher.

Three sanity checks

  • Is the job frequent? Automating something done twice a month rarely pays back.
  • Is the job clear? If two staff do it differently, document it first. See how to document a process in one afternoon.
  • What is the failure cost? A wrong automated message to a customer can cost more than the time saved. Keep a person in the loop for anything involving money, many recipients or deletion.

Start small

Pick one job. Run the worksheet. If the payback is within a few months, do it. If not, do something cheaper, such as a checklist or an approval limit. Our posts on approval limits cost nothing and often beat software.
